BOOK WITH CONFIDENCE – WITH CANCELLATION INSURANCE

When you travel with us at OLKA Sports Travel, you can choose to add our Cancellation Protection at the time of booking. We have designed this cover to give you maximum peace of mind when booking your trip with us. Unforeseen events can happen, even at short notice, which is why we allow cancellations up to 6 hours before your scheduled departure from your point of origin.

OLKA’s Cancellation Protection can be added whether you book tickets only or a full package including hotel/flight through us. It must be purchased at the time of booking, and only the elements booked via OLKA – up to a value of EUR 2250 per person – are refundable in the event of cancellation. Any amount exceeding this maximum is not covered.

The cover is personal, meaning every traveller on the booking must have purchased their own policy in order to be protected. Any additional costs for travel companions who have not taken out OLKA’s Cancellation Protection are not covered and will not be reimbursed in the event of cancellation.

The premium is 10% of the trip cost per person. In the event of cancellation, this premium is non-refundable, and an excess equal to the premium also applies. Example: if the trip costs EUR 500 per person, you pay EUR 50 for the Cancellation Protection, and in case of cancellation, an excess of EUR 50 per person will be deducted.

Cancellation Protection does not apply to groups of more than 9 people. Please contact us for further details if your group exceeds 9 travellers.

The insurance applies if you need to cancel your trip due to any of the following reasons:

  • If you or another member of your travel party suffers from an acute illness or accident where a doctor advises against travelling (this must be clearly stated on the medical certificate).
  • If a close relative (spouse/partner, child, parent, or sibling) suffers from an acute illness or accident.
  • In the event of the death of someone in your travel party or a close relative (spouse/partner, child, parent, or sibling).
  • Fire, burglary, or water damage to your private residence occurring in connection with your planned departure.
  • Unexpected redundancy from permanent employment.
  • The cancellation insurance does not apply in cases of pregnancy.

For the insurance to be valid, the incident must occur after the insurance has been purchased but before the planned departure, and the cancellation must be made in writing via email no later than 6 hours before departure from your point of origin. You will then be required to provide a valid medical certificate/proof of the unforeseen event, which must reach us within 14 days of the cancellation. If your flight was not booked via OLKA, you must also provide a copy of your flight booking with the policyholder’s name. Only medical certificates from physical doctor’s visits are accepted – certificates from online consultations via websites or mobile apps are not valid. Refunds are issued after the documentation has been reviewed and approved.

Please note that the insurance does not cover cancellations caused by a medical condition that had already shown symptoms, required medical treatment, or involved changes to medication/treatment at the time the insurance was taken out.

How do I cancel?

With OLKA’s cancellation cover, you can cancel your trip and receive a refund right up until 6 hours before departure. Cancellations must be made in writing via email to [email protected] as soon as you know you are unable to travel (note: no later than 6 hours before your scheduled departure).

Your email must include your booking reference, the name of the traveller(s) cancelling, the reason for cancellation, and details of which insured travellers still intend to travel, if any.

If you need to cancel outside of our regular office hours, you must both send us an email and call our emergency number: +46 700 90 89 10.

Example of cancellation with OLKA’s cancellation insurance:

If you are a group of five people planning to travel on Friday and one of you injures their leg badly enough on Wednesday that a doctor advises against travelling, you can choose to cancel the trip. If the package costs EUR 500 per person, you will receive EUR 400 per person back once we have received a valid medical certificate (the cost of the cancellation insurance and the excess are non-refundable).

The other four members of the group who have also purchased our cancellation insurance can then choose either to cancel and receive a refund as described above or to continue with the trip as planned.
